Getting Started with Dealer Inventory

Chances are, you already keep track of your inventory somewhere, whether that's a spreadsheet, an inventory program, or your accounting software. The good news is you don't have to start from scratch. Getting set up with Dealer Inventory is as simple as taking what you already have and bringing it into Chipply. Here's how it works:

  • Step 1: Export Your Inventory from the system you use today.
  • Step 2: Make It Fit the Chipply Upload File by copying your data into our template.
  • Step 3: Upload Your File and let Chipply match your products to the Chipply catalog.
  • Step 4: Create Custom Products for Anything That Didn't Match, like custom jerseys or pre-decorated items.

Let's walk through each step to get started.

 


Step 1: Export Your Inventory

Download or export your current inventory from whatever system you use today. Most systems can export to Excel or CSV.

For the best results, make sure your export includes:

  • Your products broken out by color and size
  • The quantity you have on hand for each
  • The UPC for each item, if you have it. This is the easiest way for Chipply to match your products.

Step 2: Make It Fit the Chipply Upload File

  1. Download the Dealer Inventory upload file.
  2. Copy your inventory from your export into the matching columns of the upload file, one row per color and size.
  3. Put your on-hand counts in the Available Quantity column.
  4. Save the file.

Step 3: Upload Your File

  1. Hover over Assets in the top navigation bar and click Products.
  2. Make sure you're on the Dealer tab.
  3. Click the Upload button and drag and drop your file into Chipply.

Chipply will match each row to a product in the Chipply catalog. Every product that matches is added to your Dealer tab automatically, along with its inventory.

Please Note:

  • The number you enter replaces what's in Chipply. It isn't added on top.
  • A blank Available Quantity is treated as 0, so double check your file before uploading.
  • Any rows that don't match will show up in an error report you can download after uploading.

Step 4: Create Custom Products for Anything That Didn't Match

If a product isn't in the Chipply catalog, like custom jerseys or pre-decorated promo items, it won't match during upload. Use your error report to see which items didn't come through, then create them as custom products.

  1. On the Dealer tab, click the + button and choose Create Custom Product. It works exactly the same as creating a custom product in your store.
  2. Once it's created, enter its inventory (see Entering Inventory below).

Adding Products

You can also add products to your Dealer tab one at a time, anytime. This is handy when you start carrying something new.

  1. On the Dealer tab, click the + button and search the Chipply catalog. For example, search "8000" and choose SanMar to find the Gildan 8000.
  2. For anything not in the Chipply catalog, click the + button and choose Create Custom Product.

When you add a product, Chipply will ask if you want to link it to products in your active stores. Choose to link if that product is already offered on an open or scheduled store.

Entering Inventory

Once a product is added, you can enter its on-hand counts right in Chipply:

  • Inventory button: Click Inventory on a product's row to open the Manage Inventory window. Type your count into each color and size, and use the up and down arrows to move to the next product without leaving the page.
  • Inventory tab: Click the Inventory tab to see every color and size for all of your products in one grid. Type your on-hand number next to D (dealer inventory). It saves automatically.
