How to Add Artwork and a Process

Artwork and Processes are what let Chipply put the right logo on the right product automatically. You add them in two steps:

  1. Artwork is the logo file itself, plus any color variations of it.
  2. A Process is one design or "page" on the work order: which logo goes where, and how it's decorated (for example, a full front screen print or a left chest embroidery).

Add your Artwork first, since every Process pulls from it.

Part 1: Add Artwork

Step 1: Create the Artwork

  1. In your store, click Artwork in the left-hand menu.
  2. Click the plus button for New Artwork.
  3. Enter an Artwork Name your production team will recognize.
  4. Optional: choose a Decoration Type. The type code tells production the decoration method, such as screen print or embroidery.

Step 2: Upload the Logo File

  1. Under Variations, upload the logo file.
  2. Use a .png or .jpg that's at least 400px wide. If your file is in another format (like .ai, .pdf, or .eps), convert it first.

If the logo only comes in one color, you're done with this step.

Step 3: Add Color Variations (If Needed)

If the same logo comes in more than one color (for example, black text for light shirts and white text for dark shirts):

  1. Click Add to create a new variation row.
  2. Upload that version of the logo.

Tip: Every color variation must be the same size and aspect ratio as the primary artwork file. Export all versions from the same artboard so they line up.

Step 4: Set Standard Colors

For each variation, set:

  • Decoration Colors: the colors that appear in the artwork itself.
  • Garment Colors: which product colors this version is meant for.

Then match your Standard Colors to those garment colors (for example, the black logo on Light colors and the white logo on Dark colors). This doesn't limit which product colors you can offer. It just tells Chipply which variation to apply to each product color automatically.

Part 2: Add a Process

Step 1: Create the Process

  1. Click Processes in the left-hand menu.
  2. Click the plus button for New Process.
  3. Name it starting with the design, then the logo name, then the decoration type abbreviation, so work orders stay organized. For example: (EMB) Logo 1 LC or (DTF) Logo 2 FF.

Step 2: Add the Artwork and Location

  1. Click the plus button under Artwork.
  2. Choose the logo from the dropdown.
  3. Pick the Artwork Location: Full Front, Full Back, Chest/Thigh/Accessory Front/Cap Front, Locker Tag, Sleeve, or Other.

A single Process can include more than one placement. For a left chest and full back design, click the plus button again and add the second artwork location to the same Process.

Step 3: Save

Common Questions

My logo comes in different colors depending on the shirt color. Do I need more than one Artwork or Process? No. Use one Artwork with color variations and one Process. Assign each variation to its Standard Colors and Chipply applies the right version to each product color. See Multiple Processes vs. Copying a Product for when you'd use more than one Process.

I want buyers to choose between versions, but my white logo shouldn't be offered on white shirts. How do I set that up? Every Process on a product applies to every color on that product, so you can't turn a Process off for some colors. If logos need different product colors, copy the product and give each copy its own Process and colors. Multiple Processes vs. Copying a Product walks through it.

I'm seeing "Unassigned Color Variation" when I open Work Orders. What do I do? A product color on that Process didn't match a Standard Color. Click Color Assignment in the left-hand menu, find any product color that still says "Assign a Variation," pick the right variation, and click Save. Check both the by Color and by Product tabs. If it won't save or the message won't clear, reach out to your Chipply team with the store number and artwork name.

I'm seeing a "missing artwork location box" warning on a product. Why? That product doesn't have an artwork box set up for the location you picked in the Process. Send your Chipply team the store number, the product style number, and the location you need, and we'll add it.

My sales order shows the Process name instead of my Ecom Display text. Is that right? Yes. The Process name is what your team sees on sales orders and work orders, and the Ecom Display text is what shoppers see on the store. That's why a clear Process name with the decoration type, logo, and location is so helpful.

Can I add more than one location to a Process? Yes. Click the plus button under Artwork again and add each location. For example, one Process can hold both a left chest and a full back logo.

My file won't upload. What's wrong? Chipply only accepts .png or .jpg files at least 400px wide. Convert vector or PDF files first.

The Edit Processes button is greyed out. Why can't I change it? That product already has orders, so its Processes are locked. Turn the product off in the Active column, copy it, and update the Processes on the new copy.
