Chipply Production - How to Receive a Purchase Order
Receiving picks up where purchasing leaves off. Every purchase order you place through Chipply, or mark as purchased, lands on the Purchase Orders page. From there you check in what arrived, note where you put it, print labels, and let production know when a process is ready. Your production team sees it all in Chipply Production, so nobody has to walk back to ask.
A Chipply One feature
Receiving is part of Chipply One, included with Chipply Production. If you don't see the receiving tools on your purchase orders, reach out to your account manager.
Before you start
You can only receive products that are on a purchase order in Chipply. Order from integrated vendors digitally, and mark orders from every other vendor as purchased, even if you ordered by phone or on the vendor's website. See Purchasing Best Practices.
Step 1: Find the purchase order
Purchase orders are no longer a tab inside Purchasing. Go to Fulfillment → Purchase Orders. Every purchase order placed through Chipply shows up here, most recently ordered first. Find the one you need (use the search box at the top if it helps) and click into it.
- SO/Process shows the process, store and sales order the products are for. A + count means there's more than one; hover to see them all. Products bought for stock show as Stock (no sales order).
- Products Received shows how much has come in. Backordered products show as a red section of the bar.
- Check one or more purchase orders to download them or message customers.
Step 2: Check what's coming
The top of the purchase order shows the vendor, who purchased it, which sale and process it's for, how much has been received, and when it was ordered.
Products are grouped by process, because that's how production works, so you can see what each process is still waiting on. Use the filters above the table to narrow it down by process, customer order, or event or sales order.

Step 3: Mark what arrived
As you unpack the box, mark what came in. There are three ways to do it.
Option 1: Line by line
Type the number that arrived in each line's Received box. Best when only part of an order came in.
Option 2: Several lines at once
Check the lines that arrived, then click Receiving → Mark Received on the bottom bar.
Option 3: The whole order
If everything arrived, use PO-wide Actions → Receiving → Mark Received at the top right. No need to check any lines.
Nothing is saved until you click Save. Until then, the Received box shows what's saved plus what you're adding, like 0 [3]. You can't receive more than was ordered.
Step 4: Save, add a location and mark it ready
When you click Save, Chipply shows one screen for each process you're receiving into, with a tag that tells you where that process stands:
| Tag | What it means |
|---|---|
| First of More | The first products for this process are here. More are coming. |
| First and Final | Everything for this process arrived at once. |
| Next of More | More products arrived, but some are still on the way (for example, "You are receiving 3 of 19 items in this Process. 6 items still need to be received."). |
| Next and Final | The last products are here. The process is ready for production. |
On each screen you can:
- Assign a receiving location (bin). Where the products are going next: a shelf for embroidery, a spot for screen print, a box headed to another warehouse or a contract printer, or just "back room." It's optional, and you can type anything.
- Set the production status. Choose No change if you're still waiting on products, or Mark Process Ready if everything for the process is here. When the last products arrive, Mark Process Ready is selected for you.
- Print labels with the Labels button.
Click Save on each screen, or Skip All & Save to save without changing anything else. If you close the window early, nothing is received. Once saved, the Ready for Production column fills in green.
Why the count includes other purchase orders: the save review counts everything ordered for the process, not just this purchase order. If a process needs 29 items and only 10 are coming from SanMar, Chipply knows the rest are on another vendor's order, so you won't send the SanMar items to decorating too early.
Step 5: Print labels and send it to production
Labels tie what you received to Chipply Production, so everyone knows where each box belongs. Click Labels at the top of the page, on a process heading, or on the bottom bar for just the lines you've checked, and choose a sheet:
- Store Labels
- Process Labels
- Item Labels
- Customer Order Labels (only for online stores where shoppers checked out)
When products are batched into a job, you'll also see Job Labels. Labels don't print automatically; choose the ones you need, then print or download them.

Not sure which label to use? See Printing Labels with Chipply Production for what each label shows and how shops use them in production.
What production sees
everything you receive updates in Chipply Production. Anyone there can open a store and see how many products have been received (for example, 122 of 123) and which processes are ready, without asking the receiving team. The receiving location stays on the purchase order; it doesn't show in Production.
See everything behind a purchase order: the Hub
While you're receiving, you'll often need to check something on the sale itself. Why are only a few items from this store here? What else is on this process from another vendor? Which customer ordered this? The Hub puts all of that one click away.
The Hub button is at the top right of the purchase order and on each process heading. Each option opens in a panel on the right, so you never leave the page:
| Option | What it opens | Handy for |
|---|---|---|
| Sales | The Sales Order page for the sale, filtered to this purchase order. Clear the filter to see the whole sale. | Seeing what else is on the process or sale, including items from other vendors. |
| Production | The process's work order in Chipply Production: decoration details, artwork, options and status. | Checking what production needs before you send the box over. |
| Order Manager | The customer orders behind the products (online stores only). | Seeing who ordered what, and adding a note to an order, like a backorder. |
| Line Items | Every individual unit behind the purchase order or process. | Seeing exactly which units are received, ready or backordered. |
You can still mark products received or ready from the Sales and Production panels, and those changes save with the rest of the page. To open the full page, use the open-in-new-tab icon at the top of the panel.
Fixing a mistake
- Received something by mistake? Change the number in the Received box, or check the lines and choose Receiving → Mark Not Received. To undo the whole purchase order, use PO-wide Actions → Receiving.
- Marked a process ready too soon? Check the lines and choose Production → Revert to New, or use PO-wide Actions → Production for the whole order.
- Product wasn't actually ordered? Check the lines, click ⋮ on the bottom bar and choose Mark Not Ordered. The products go back to waiting to be purchased.
More on the purchase order page
Clicking More Actions at the bottom of your page allows you to quickly:
- Download the purchase order as a spreadsheet: PO Detailed or PO Summary.
- Share sends the purchase order to someone.
- Backordered on the bottom bar flags products the vendor has on backorder. Receiving them later clears the flag.

Frequently asked questions
-
Do I have to enter a receiving location? No. It helps you know where products went and find the box when the rest of the order arrives. If you don't have a receiving area, leave it blank.
-
What if part of an order is backordered?Receive what arrived and leave the rest. The save review tells you how many are still coming. If one item won't make it in time, you can still mark the process ready and handle that item separately.
-
Do products I pull from my own stock get received too?Yes. Pulled products have their own purchase order, and you receive them the same way.
-
Is there one page that lists everything in each bin?No. You'll see the receiving location when you open a purchase order.
-
Does this work for offline sales and online stores?Yes. Products for both show up on the same Purchase Orders page.
